Segments

A segment is a group of contacts that match conditions you choose: for example, everyone in the United States who opened your last campaign, or everyone whose Plan field is Premium. You don't add contacts to a segment. They belong to it while they match, and drop out when they don't.

Segments let you:

  • target part of a list without splitting it
  • combine contacts from several lists
  • target by engagement: opens, clicks, bounces and complaints
  • target by where and on what device people read your email
  • start a trigger when a contact starts to match

The Segments page​

Go to Lists → Segments.

  • Add New creates a segment.
  • Templates opens ready-made segments you can copy. It appears when templates are available. See Templates.
  • Bulk Actions → Delete deletes the segments you've ticked.
  • The search box finds segments by name.

While a segment is being exported, copied or moved, the Actions column shows Exporting, Copying or Moving with its progress.

Create a segment​

Go to Lists → Segments and click Add New.

Filter by contact list​

Under Select List, choose which lists the segment draws from:

Apply Filters​

Click Add Filter to add a condition, and add as many as you need. A contact must match every condition to be in the segment. Remove a condition with its X.

Each condition is a field, a comparison and a value. The fields are grouped:

Text and email comparisons also offer alphabetical ranges on the first letter, which are handy for splitting a large audience into parts.

Based on statistics​

A statistics segment finds contacts by what happened to the emails you sent them.

How far back you can look

Engagement filters use your sending logs. If the form shows a note about your log retention, filters can't find events older than that period.

Select Broadcast​

Choose Any broadcast, or Selected broadcasts and tick them. Use the search box to find a broadcast.

Criteria​

Choose what must have happened:

Depending on the criteria, you can narrow it further:

Location, browser and operating system are recorded when a contact opens an email or clicks a link. Contacts who have never opened or clicked have none of this data, so they never match these filters.

Apply Filters​

Statistics segments also have an Apply Filters section, to narrow the sends you're looking at, for example by Contact list, Sending domain, Sender email, Campaign name, Message-ID, Subscription status or Bounce status.

Count and save​

At the bottom of the form:

  • Count shows how many contacts match now, without saving. If counting takes too long, you'll see "This process is taking longer than expected. Please save the segment and view the result later."
  • Save saves the segment and counts it in the background.
Count before you save

A count of 0 usually means a condition is too narrow or has a typo. Remove conditions one at a time to find the one that's excluding everyone.

Templates​

Mumara may publish ready-made segments you can copy and adjust. When templates are available:

  • On the Segments page, click Templates. In Segment Templates, click Clone next to a template to add a copy to your segments, or Clone all to copy every template.
  • On the new segment form, click Select from the pre-defined templates, then Use This next to a template.

Then edit the copy to choose your own lists and values.

Work with a segment​

See the contacts​

Click the number in the Contacts column. View Segmented Contacts lists each matching contact's ID, Email, Bounced, Unsubscribed, Confirmed and Creation Date. Click an ID to see the contact's details.

Tools → Delete deletes contacts

On this page, Tools → Delete deletes the ticked contacts from your lists, not just from the segment.

Recount​

Segment counts are refreshed periodically. Choose Recount from the segment's Actions menu for an up-to-date number, for example just before you send.

Export a segment​

  1. Choose Export from the segment's Actions menu.
  2. Tick the data to include:
    • Select Custom Fields to Include: the email address and any of your fields
    • Statistics: Geo Country, Geo State, Geo City, Geo Zip, Browser, Operating System, Link Clicked, Message-ID
    • Campaign: Campaign Name, Group Name, Subject Line, Broadcast Creation Date, Campaign Sent Date
  3. Click Export.

The export runs in the background. When it's done, a download icon appears next to the segment's contact count, and the file is listed under Tools → Exported Files. See Exported Files. An interrupted export picks up where it stopped.

Copy or move contacts to a list​

  1. Choose Copy contacts to a list or Move contacts to a list from the segment's Actions menu.

  2. Under Contact Lists, choose the destination list. It can't be one of the lists the segment draws from.

  3. Under Duplicates, choose what happens when an address is already in the destination list:

    UpdateThe destination list's contact is updated with the segment contact's statuses and field values. When moving, the original contact is then removed.
    DeleteThe destination list's contact is kept, and the segment's contact is deleted from its original list.
  4. Click Copy or Move.

Copy leaves the original contacts where they are. Move takes them out of their lists. Both run in the background, show their progress in the Actions column, and can be paused or cancelled there.

Any list segments can't be copied or moved

A segment that uses Any list spans all your lists, so it can't be copied or moved to a list. Use Contact list or Member of instead.

Send to a segment​

When you schedule a campaign, choose segments as the recipients. The campaign goes to the contacts that match when it's prepared for sending, so contacts who start to match after you schedule it, but before it's prepared, are included.

The usual rules still apply: inactive, unsubscribed, hard-bounced, complaining and suppressed contacts are left out.

Delete a segment​

Choose Delete from the segment's Actions menu, or tick several and choose Bulk Actions → Delete. Deleting a segment removes only its definition. The contacts stay in their lists.

If the segment is used by a scheduled campaign or a trigger, a Dependency Check window lists them: "Unassign the segment … from associated assets before deleting it." Remove the segment from each of them first.

Segment limits​

Your plan can limit how many segments you create. When you reach the limit, Add New returns you to the Segments page with "Oops... The limit has been reached." Delete segments you no longer use, or change your plan. See Plan & Usage and Mumara ONE pricing.

Good practice​

  • Name segments by who's in them, and use Description for anything complicated.
  • Start simple. Add one condition at a time and count as you go.
  • Choose specific lists rather than Any list where you can. Segments count faster, and they can be copied or moved.
  • Prefer clicks to opens for engagement. Privacy features in some mail apps load images automatically, which records opens nobody made.
  • Re-engage, then clean. Send a win-back campaign to people who haven't opened in months, then stop mailing those who still don't respond.

Troubleshooting​
